Data Privacy Policy for Job Applicants

I. General
We are pleased that you want to become a part of the Kennametal Group! As part of the application process, it is necessary that you send us certain data that are important for our selection decision. These data are personal data. Personal data refer to all information relating to an identified or identifiable natural person.

Kennametal attaches great importance to data protection. In order to meet our requirements and to comply with the applicable data protection laws, we would like to inform you about the processing of your personal data in the application process at Kennametal.  The following contains information about the controller (II.), the purposes and legal basis of data processing (III.), the transmission of your data (IV.), the duration of the processing (V.) and the rights you are entitled to (VI.)

II. Controller
The Subsidiaries available on www.kennametal.com under About Us, Data Privacy and Kennametal Inc. Subsidiaries are responsible for data processing in terms of Art. 13 (1) (a) GDPR and Art. 4 (7) GDPR.

III. Purposes of data processing and legal basis
We process your personal data exclusively in order to be able to carry out the application procedure and to be able to offer you an opportunity to conclude an employment contract after completion of the successful application process. The legal basis for data processing is Art. 6 (1) (b) GDPR, according to which the processing of personal data is legal if this is necessary to establish an employment relationship. If we have obtained your consent for data processing, we base our data processing on Art. 6 (1) (a) GDPR.

1. Processing of your personal data by using our applicant portal
You can submit your application via our application portal. If you chose to send us your application by postal mail or email, we will return your application with instructions on how to submit your application via our application portal. Our application portal works with current encryption techniques to ensure a safe transfer of your application.

In the application portal of the Kennametal Group, we will process your data for your unsolicited application or your application for a specific Kennametal job advertisement. In addition, the Kennametal Group cooperates with the external service provider IBM. This our recruiting partner that processes personal data within our applicant process on behalf of the Kennametal Group.

2. Registration
You can register on the application portal without submitting a concrete application. The following information is required for the creation of your personal applicant account during registration:

  • First name
  • Last name
  • Desired username
  • E-mail address
  • Self-chosen password


With this applicant account, you are able to apply for jobs and manage and update your applications.

For the application procedure, the necessary information and personal details, such as name, address, e-mail address or details of school and professional background, are collected. You can also upload individual application documents (e.g. cover letter, CV, certificates) to the application portal. The information provided and the uploaded documents are stored in our job portal. Your e-mail address is required, as we do not use postal communication for applications via the application portal.

In order to submit your application, it is necessary that you create an applicant account so that we can inform you about the status of processing and contact you. You can also cancel your application via the account and, depending on the status of processing, add to and change your application.
Our online application portal can only be used with your consent. The legal basis for this processing is set out in Art. 6 (1) (f) GDPR.

3. Job advertisement (direct application)
If you apply for an advertised position via the applicant portal, your data can only be viewed and processed by the responsible employees of the personnel department and the responsible employees of the advertising specialist department.

4. Unsolicited application
With an unsolicited application via our applicant portal, you provide us with your personal data for the purpose of finding a suitable position. Your data can be then viewed by the HR department and by the employees of the relevant departments involved in the application process in order to check your profile for suitable job offers.

5. Simultaneous application in several companies of the Kennametal Group
In cases you apply for several positions at the same time at several companies of the Kennametal Group, your application documents will be forwarded to the personnel departments of the respective companies. This has no effect on current application procedures.

IV. Disclosure of your data
Only those persons and departments who are involved in the application process will receive your application documents. Within the company, superiors, human resources managers and employees and, if necessary, the works council can be involved in the application process.

The application procedure is executed in close cooperation with the external recruiting agency IBM. In this context, it is imperative that your personal application data is transferred on to IBM.  Beyond this, your application data will not be transferred to third parties.

Your personal application data will not be transferred to any other companies of the Kennametal Group or for other job offers without your prior expressed consent.

During the application process, it might be necessary to transfer your data to recipients in countries outside the European Union ("EU") and the European Economic Area ("EEA"). In these cases, we use EU-Standard-Contractual Clauses with our contractual partners and affiliated companies to ensure that an adequate level of data protection is guaranteed for your data.

V. Data retention
Your provided information and applicant documents during the application procedure will be deleted six months after completion of the application process.

You have the right to view, manage and update all of your personal data stored in the applicant portal at any time. You are responsible for ensuring that this information is true and accurate.

The period of use of the account is regularly six months. Before the six months expire, you must agree to extend the period of use. In the event of approval, the period of use is extended by further six months. If you do not agree, your account will be deleted automatically.

If a current application is in progress at the end of the period of use, the period of use will be extended until this application is completed.

VII. Your rights
1. Right to access
You have the right to receive information from us about the processing of your personal data. For further details, please refer to Art. 15 GDPR.

2. Right to rectification
If your personal data is incorrect, you have the right to request that we correct the incorrect data, in accordance with Art. 16 GDPR.

3. Right to erasure
In accordance with the statutory provisions, you may request that we delete your personal data in accordance with Art. 17 GDPR.

4. Right to restriction of processing
You have the right to request us to restrict processing if one of the conditions specified in Art. 18 GDPR is met.

5. Right to object
If the processing of your data is based on our legitimate interest or a public interest (Art. 21 (1), Art. 6 (1) (e) (f) GDPR), you have the right to object to the processing of your data. In this case, no further processing takes place, unless the reasons for the processing outweigh your rights.

6. Right to withdraw
If you have given your consent for the data processing, you can withdraw your consent at any time. The legality of the processing of your data until withdrawal remains unaffected by this.

7. Right to data portability
You have the right to receive your personal data that you have provided to us, in accordance with Art. 20 GDPR. You will receive your data in a structured, common and machine-readable format in accordance with the legal requirements. Furthermore, you have the right that we transmit the data provided by you to another controller, as far as this is technically possible.

8. Right to lodge a complaint with a supervisory authority
It is important to us to comply with all laws and provisions regarding your data. However, if you believe that by using your data we are in breach of the General Data Protection Regulation, you have the right to lodge a complaint with a supervisory authority.
